What to do when you reach your client limit

Your plan caps active clients. Levflex warns you at 80% and when you're full; upgrade or deactivate past clients to take new sign-ups again.

3 min readUpdated November 3, 2026

Each Levflex plan includes a set number of active clients: 100 on Starter, 500 on Growth and unlimited on Pro. This article explains the warnings you'll see as you get close, what new clients experience when you're full, and the two ways to make room. Nothing is ever deleted when you reach the limit, but new sign-ups are turned away until you act.

Warning: Leaving your gym at its client limit can result in new clients being turned away without you noticing. Always act on the yellow 80% banner rather than waiting for the red one.

Before you begin#

  • You need to be the owner to change the plan. Admins can deactivate clients.
  • Check your numbers on Billing under Usage: Active clients shows how many you have and your limit.
  • During your free trial the limit is 500 (Growth limits).

The warnings you'll see#

WhenWhat happens
You reach 80% of your limitA yellow banner on your dashboard: You're using 80 of 100 client spots on your plan. The owner gets one email.
You reach 100%A red banner: Your plan's client limit is full. New clients can't sign up online, sign up with Google, or be reactivated.
Someone tries to sign up while you're fullThey see a message saying your gym isn't taking new online sign-ups and to contact you directly. The owner gets an email, at most once a day.

Steps to take new clients again#

Upgrade your plan#

  1. Go to Billing in the dashboard sidebar.
  2. Compare the plans and select a plan with a higher client limit. Growth allows 500 and Pro is unlimited.
  3. Confirm the change. The new limit applies at once and the banner disappears.

Or deactivate clients who no longer train with you#

  1. Go to Clients and open the client's profile.
  2. Select Deactivate under Deactivate this client.
  3. Repeat for other past clients. Each one frees a spot straight away.

Deactivated clients keep their history, purchases and workouts, and you can reactivate them later if you have room.

Common mistakes#

Counting members instead of active accounts#

The limit counts client accounts that aren't deactivated, including people who signed up once and never came back. Deactivate old trial sign-ups and past clients first.

Ignoring the yellow banner#

The 80% warning is your chance to act before anyone is turned away. A client who can't sign up may simply book somewhere else rather than call you.

Downgrading while you're over the smaller limit#

A downgrade is blocked if you have more active clients than the smaller plan allows. Deactivate clients first, then change plans. See How to choose or change your Levflex plan.

Troubleshooting#

  • Does a client say your gym isn't taking new online sign-ups?
    • Yes
Check the banner on your dashboard. If it's red, upgrade or deactivate past clients, then ask them to try again.
    • No
See Client can't book a session for waiver, credit and booking problems.
  • Is the banner red even though you deactivated clients?
    • Yes
Reload the page. If it's still red, compare Active clients on Billing with your limit; you may need to deactivate more.
    • No
You have room again. New sign-ups work straight away.
  • Can't you reactivate a client?
    • Yes
You're at the limit. Free a spot or upgrade, then reactivate them.
    • No
The client is active and counts toward your limit.

Once you're under the limit, new clients can sign up immediately. Your current usage is always on Billing under Usage.
